When volunteering at a rest stop, you will support in the setup, service, and take down of the rest stop for the weekend. This includes set up and placement of tables, food and beverages, assistance with safety of entrance and exit locations, supporting and cheering on riders, as well as clean up and takedown of the rest stop at the end of each day.
Please drive directly to your assigned rest stop location on your first scheduled day of volunteering and report to your volunteer lead to receive your t-shirt, name badge, meal bracelet and additional details regarding your assignment. Please see the rest stop schedule for exact locations and times of your assignment.
Volunteers will be positioned at the entrance to the finish line, bike storage, and other key areas at each fixed facility. The Facility Safety Crew will direct vehicles and participants in the appropriate direction to ensure the safety of pedestrians, volunteers and cyclists. Key areas include:
- Finish Line Entrance
- Bike Corral
- Chute Directors
- Parking Lot Entrances and Intersections
Your specific assignment and timing will be shared with you prior to Trek weekend.
Luggage crew volunteers support by loading and unloading luggage daily on their assigned box truck. The luggage driver will transport luggage in their truck to and from each overnight facility. Drivers have been asked to assist with loading and unloading. Luggage shifts start at 5am and finish in the early afternoon. Please note Luggage bags are heavy. Some lifting (up to 25lbs) is required.
Route marshal volunteers will be assigned to monitor an intersection along the Trek route to provide directional guidance to cyclists (turn or continue straight) and to remind them to stop or yield (following all traffic laws). You are ONLY to interact with cyclist traffic; you will NOT be directing vehicular traffic. Some intersections may be supported by police. If your intersection happens also to have an officer on duty, they will focus on the vehicular traffic while you focus on the cyclists. Please work in conjunction with the officer to keep things moving smoothly.
You will report directly to your assigned intersection on the first day of your assignment. Your lead volunteer will drop off your safety vest, signs, and lunches for your assignment
Event setup volunteers will assist in preparing the event site before the Trek begins. This includes setting up tents, tables, and chairs, marking key areas such as registration, start/finish line, and vendor village, as well as assisting vendors and sponsors with setup. Volunteers should be prepared for physical activity, lifting, and working outdoors. Specific setup instructions and arrival times will be provided prior to the event.
Registration volunteers will be responsible for greeting and assisting riders upon arrival, checking in pre-registered participants, processing on-site registrations, and distributing event materials such as rider packets, t-shirts, and fundraising incentives. Volunteers should be comfortable answering questions and ensuring a smooth check-in process.
Event photographers will help capture key moments throughout the event, including start and finish line photos, action shots along the route, and images of riders, volunteers, and sponsors. Photos will be used for event promotions, social media, and future marketing efforts. Volunteers should have their own camera or high-quality phone camera and be comfortable moving around to capture the best shots.
Volunteers at the start and finish line will help manage the flow of participants and ensure a positive experience for all riders. This includes cheering on cyclists as they start and finish, distributing medals to participants, providing water and refreshments, and helping to keep the area organized and welcoming. Volunteers should be energetic and ready to celebrate the riders’ accomplishments.
Additional volunteer opportunities include supporting with medals distribution by handing out medals to riders as they cross the finish line, assisting in the VIP area to provide hospitality for top fundraisers and special guests, and working in the vendor village to help vendors set up and ensure a great experience for participants. Volunteers assigned to these roles will receive specific instructions and assignments before the event weekend.
